Job Summary

The Sales Operations Specialist, Wholesale is responsible for the oversight and management of ILIA Beauty’s wholesale business as it relates to purchase order pipeline, fulfillment, shipping & logistics, returns, and 3PL metrics. This position leads efforts to design and implement measurable wholesale operations solutions that reduce cost and errors while ensuring all related process and functions adhere to ILIA’s expectation of exceptional customer service and industry standardization.

The Sales Operations Specialist, Wholesale works directly with wholesale accounts as well as ILIA Sales staff and owns all aspects of their operational needs, including but not limited to:

  • 3PL wholesale fulfillment management

  • Reporting & metrics

  • Account onboarding & exiting

  • Wholesale operations policy & process

  • Purchase Order analysis, entry, management, fulfillment, shipping, & logistics

  • Error management

  • Returns

The Sales Operations Specialist, Wholesale is a subject matter expert in their field, cultivating an intimate knowledge of ILIA Beauty’s ERP, EDI, and WMS systems, and is responsible for creating and analyzing 3PL performance metrics from these systems.

The Sales Operations Specialist, Wholesale role reports to the Director of Sales Operations and assists with miscellaneous tasks, projects, and data management as needed to support ILIA Beauty’s company objectives and sales goals.

Essential Job Functions and Duties

  • Leads ongoing improvement of ILIA wholesale operations:

    • Defines policies & processes for wholesale ordering, fulfillment, and returns

    • Researches, designs, and implements improvements to ERP

    • Partners with 3PL to suggest and implement changes to the fulfillment process

    • Establishes relationships with cost-effective freight and logistics partners

    • Analyzes fulfillment metrics and holds 3PL accountable to SLA

    • Responsible for reporting on and recouping cost for misshipments, errors, and other issues

  • Manages wholesale purchase order pipeline from creation to fulfillment and delivery:

    • Provides ongoing analysis of purchase order pipeline to highlight and resolve any potential fulfillment issues

    • Manages all wholesale purchase order entry

    • Works closely with the Director of Sales Operations to manage product allocation for wholesale accounts

    • Maintains positive relationships with all wholesale accounts and vendors

    • Oversees 3PL fulfillment and works closely with 3PL partners to achieve shipping timelines and goals

    • Responsible for all shipping documentation and freight management

    • Troubleshoots all shipping errors and misshipments

    • Oversees return processing

  • Adhere to current Ilia policies, procedures, products, programs and services.

  • Other special projects and responsibilities as assigned.

  • All other duties as assigned.

Position Qualification Guidelines

  • 2+ years experience managing sales operations for big box retailers and consumer products, or related experience in a similar role

  • 2+years working directly with 3PL fulfillment, shipping, and logistics

  • Demonstrated knowledge of process design and implementation

  • Experience with ERP, EDI, and WMS systems

  • Functional Excel skills (Pivot Table, Equations, Graphs & Charts)

  • Professional, enthusiastic, friendly demeanor with proven track record of positive working relationships inside and outside an organization

  • Flexible and dynamic personality willing to shift priorities quickly to support the business

  • Attention to detail, strong organizational skills, and a self-starter mentality a must
